Grant round information

Before starting your application, please review the Grant Guidelines and read the instructions for submitting your application below.

Once you click ‘start an application’ at the top of this page, you will be emailed:

• your application number
• the instructions for submitting your application

Navigating the application form

• Save frequently using the “Save Progress” button to avoid losing work. The system will automatically time out after 20 minutes and unsaved work will be lost.
• You may begin entering information in any section/page of the application form, it does not have to be completed in chronological order.
• To move through the application form, use the ‘Form Navigation’ box on the right-hand side of the screen. This allows you to skip between pages of the application form.
• You can also use the 'next page' or 'previous page' buttons at the top or bottom of each page.
• Before your final application is submitted, all mandatory fields must be completed, and word limits adhered to.

 Saving a draft application 

If you wish to save a draft application and return to it later:

1. Click the 'Save and Close' button at the top of the screen
2. Click the ‘Log out’ link also at the top of the screen.
3. To log back in, click here
4. Click the 'My Submissions' link at the top of the screen. Here you will find a list of any applications you have started or submitted. You can re-open your draft application and start where you left off.

Downloading an application

You can download an empty application form in PDF format – see top right of this screen.

You can also download draft and final versions of any of your applications in PDF format.

If you are already working in an application form, click on the 'Download PDF' button located at the top of the screen

If you have saved an application, you can:

• log back in to SmartyGrants here.
• Go to ‘My Submissions’ and click on the application you wish to download
• a pop-up screen will appear with a PDF icon
• click the PDF icon and the application will begin downloading.

Attachments and supporting documents 

You will need to upload attachments as a part of submitting your application :

• a research protocol using the template provided
• a certification form using the template provided signed by authorised representatives of:
  • your Host Organisation
  • your Administering Organisation (if separate from the Host Organisation) and
  • your local health district (if applicable).

Please allow time for each file to upload before attaching another file. Files can be up to 25MB each however, we recommend keeping files to a maximum of 5MB – the larger the file, the longer the time it takes to upload.

Completing an application in a group/team 

If you require several people to work on an application, you can download a copy of the application form which can be shared and worked on offline.

Submitting your application

1. Review your application to ensure you are satisfied with it.
2. Ensure you uploaded the research protocol and signed declaration form while working through the application in SmartyGrants
3. Submit your application:
   • Go to the 'Review and Submit' page of the application form.
   • Click the ‘Submit’ button located at the top of the page.
   • You will receive a confirmation email with a copy of your submitted application attached. This will be sent to the email you used to register your account.
   • If you cannot locate the email in your inbox, please check your spam and junk email folders. If you do not receive an email, you should presume that your submission has NOT been submitted and click the ‘submit’ button again.
4. Await the application outcome.
   • Once your final application has been submitted, no further editing is possible.
